Established (15+ Years) Premier Firm Seeking Administrative Assistant for Plaintiff Personal Injury Practice in Albany, NY

An established firm based in Albany, NY with over 15 years in practice is seeking an Administrative Assistant with 2-4+ years of experience to join their team fully onsite. This role will support a tight-knit team of trial attorneys and paralegals handling a broad range of plaintiff personal injury matters, including automobile accidents, motorcycle crashes, construction site injuries, medical malpractice, pharmaceutical negligence, products liability, and sexual abuse survivor representation.

Offer

Salary range: $45,000-$55,000+, contingent on experience

Qualifications

2-4+ years of administrative experience, ideally within a law firm or other professional services environment

Familiarity with personal injury litigation workflows and legal terminology is a strong plus

High school diploma required with an Associate's or Bachelor's degree preferred

Working knowledge of court filing procedures and NYSCEF e-filing is helpful

Proficiency with Microsoft Office, calendaring tools, and document management or case management software

Excellent written and verbal communication skills with a professional and welcoming phone manner

Highly organized with sharp attention to detail and the ability to juggle competing priorities in a fast-paced litigation environment

Demonstrated discretion and sensitivity when interacting with clients on emotionally difficult matters

Responsibilities

Serve as a first point of contact for the firm by answering phones, greeting clients, and routing inquiries to the appropriate attorney or paralegal

Manage attorney calendars, schedule client meetings, depositions, and medical appointments, and coordinate conference room bookings

Prepare, format, and proofread correspondence, memos, and routine legal documents under attorney and paralegal direction

Open, organize, and maintain physical and electronic case files and assist with accurate calendaring of court dates and deadlines

Request and track medical records, billing records, and other case documentation as directed

Assist with NYSCEF e-filing and ensure documents are submitted in compliance with court requirements

Process incoming and outgoing mail, scan and index documents, and maintain office supplies and equipment

Support client communication by relaying updates, gathering intake information, and following up on outstanding items

Provide overflow support to paralegals and attorneys during trial preparation, including assembling binders and exhibits

Coordinate with vendors, couriers, medical providers, and court personnel as needed to keep cases moving efficiently
