Position Summary
The New York State Conference of Mayors and Municipal Officials (NYCOM) is seeking a highly organized and detail-oriented Office Assistant to support daily office operations and assist staff with administrative, membership, and event-related functions. This position plays an important role in ensuring efficient office operations and providing excellent service to municipal officials, partners, and members.
Key Responsibilities
- Answer and direct phone calls, emails, and general inquiries
- Welcome and assist visitors
- Process incoming and outgoing mail and prepare materials for mailings
- Assist with meeting and training logistics, including assembling materials and name badges
- Prepare, organize, and maintain electronic and paper files
- Support staff with document preparation, copying, scanning, and correspondence
- Process publications and webinar orders
- Order and maintain office supplies and inventory
- Help update contact information and maintain accurate organizational records
- Perform general administrative and clerical duties, as assigned
Qualifications
- High school diploma or equivalent required; associate degree (or higher) preferred
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Proficiency with Microsoft Office, including Outlook, Word, and Excel
- Ability to manage multiple tasks and deadlines in a fast-paced environment
- Ability to work independently and as part of a team
Preferred Qualifications
- Familiarity with local government or nonprofit organizations
- Prior administrative, clerical, customer service, or office experience
Location/Work Environment: Based in NYCOM's Albany office and requires regular in-person attendance.
