We are seeking a dynamic, self-motivated Front Desk & Operations Coordinator to join our team and serve as the face of our practice.
Position Overview
This is a hybrid position combining high-end client hospitality, fast-paced retail sales, digital coordination, and daily operational management. The ideal candidate has a deep passion for the aesthetics industry, possesses high-level technology skills, and excels at multitasking. We are looking for a proactive self-starter who provides a warm, helpful experience to our community and actively looks for ways to add value during downtime.
Key Responsibilities
- Client Experience & Front Desk: Manage a busy reception desk, seamlessly multitasking between greeting guests, managing appointments, and responding to incoming requests. Provide a warm, genuinely helpful experience in person, over the phone, and through digital communication (email/text).
- Retail & Skincare Product Guidance: Maintain a high-paced retail environment. Take the initiative to thoroughly learn our different professional skincare lines to confidently articulate product benefits and provide clients with recommendations that best support their skin goals.
- Privacy & Compliance: Maintain strict client confidentiality and uphold all HIPAA regulations regarding patient information and medical records.
- Digital & Tech Operations: Utilize high technology skills to manage day-to-day software platforms. This includes navigating Shopify to support e-commerce operations and utilizing an Electronic Medical Record (EMR) system for seamless patient management.
- Inventory & Logistics: Oversee stock and inventory management, handle incoming/outgoing shipments, and demonstrate strong mailing and fulfillment skills.
- Cross-Functional Support: Work collaboratively with our clinical providers while confidently managing tasks independently. Anticipate business needs and take on special projects to fulfill operational gaps.
Position Requirements & Qualifications
- Education & Experience: An Associate’s or Bachelor’s degree is preferred, but strong relevant experience is perfectly fine too!
- Skills & Expertise: High technology skills and computer proficiency are required, including the ability to quickly learn and confidently use an EMR system and Shopify. General e-commerce, retail, and inventory management experience is required.
- Preferred Experience: Previous experience in a medical spa, fast-paced retail environment, or luxury hospitality is a major plus.
- Schedule Flexibility: Must be available Monday through Friday, with the ability to work after 6:00 PM on certain days. Some Saturday shifts are required.
- Core Competencies: Strong communication and multitasking skills, strict attention to detail, a professional demeanor, and a "can-do" attitude.
- Physical Demands: Must be able to stand/be on your feet for extended periods and comfortably lift up to 30 lbs for inventory/shipping needs.
- Logistics: Must have reliable, independent transportation.
