Performs administrative and office support related activities for multiple supervisors. Duties may include screening telephone calls, greeting and directing visitors, typing correspondence, memos and reports, typing, filing and faxing. Extensive software skills are required, as well as Internet research abilities. Requires strong oral and written communication skills and technical writing abilities. Communicates bilingual in Spanish and English, and is culturally responsive in the communication with internal and external contacts.

Responsibilities and Duties

1-Manages and coordinates department activities.

2-Performs administrative tasks of department in supervisor’s absence.

3-Performs general research for the department.

4-Performs complex and confidential secretarial related functions in order to ensure assigned department operations flow smoothly.

5- Performs other duties as assigned.

Required Skills

  • Comprehensive knowledge of modern office practices.
  • Cosiderable knowledge of English grammar and spelling.
  • Ability to understand and follow quickly and accurately brief oral and written instruction.
  • Ability to organize and complete work in an accurate and timely manner.
  • Ability to deal tactfully and communicate effectively with persons of diverse educational and cultural backgrounds.
  • Ability to work with and appropriately handle confidential information.
  • Ability to deal with the public in a professional, courteous and tactful manner.
  • Ability to exercise judgment in unusual or stressful situations.
  • Ability to communicate effectively both orally and in writing in a professional manner.
  • Type 40 words per minute.
  • Ability to handle supervisory responsibilities.
  • Ability to understand the operation of a computer network, and skills in word processing and data base software.
  • Bilingual English/Spanish.

Required Education

High school diploma or GED supplemented with completion of sixty (60) credited hours in Office Administration, Social Services, Business Administration or related field.

Two additional years of work experience as listed above may be substituted for the required sixty credit hours.

Required Experience

Five years of administrative secretarial experience with two years of research and business writing
