Position Summary

We are looking an HR Support Specialist for Mail Services to join our team in Nashville, TN.

This role is responsible for the secure, accurate, and timely management of incoming and outgoing Human Resources related mail and business documents. This role serves as a critical link between departments, ensuring sensitive materials are handled with the highest level of effectiveness and compliance. The position requires strong organizational skills, attention to detail, and the ability to collaborate effectively with multiple business functions to support daily operations.

Responsibilities

Mail and Document Management

  • Receive, sort, distribute, and process incoming Human Resources related mail.

  • Prepare and coordinate outgoing mail to service providers, government agencies, and employees.

  • Maintain accurate records and tracking information for all mail and documents including financial instruments such as checks.

  • Ensure timely delivery of critical business correspondence and documents.

  • Ensure all sensitive materials are processed, stored, and delivered in compliance with company policies and data privacy requirements.

  • Report and escalate any security concerns, document discrepancies, or compliance risks immediately.

  • Act as a trusted point of contact for internal customers requiring mail processing and document support.

  • Support departmental initiatives and projects related to document management, process improvement, and operational efficiency.

  • Ensure adherence to established service-level expectations and operational procedures.

  • Support audits, compliance reviews, and documentation requests as needed.

  • Other duties as assigned.

Minimum Qualifications

  • High school diploma or equivalent required, some college or university course work is preferred.

  • Previous experience in mail services, administrative support, facilities operations, logistics, or a related field preferred.

  • Experience handling confidential or sensitive information in a professional environment.

  • Strong attention to detail and organizational skills.

  • Excellent verbal and written communication skills.

  • Ability to prioritize tasks and manage multiple responsibilities in a fast-paced environment.

  • Proficiency with basic computer applications, email systems, and shipment tracking tools.

  • Ability to safely lift, carry, move, and transport mail trays, packages, boxes, and shipping materials weighing up to 20 pounds on a regular basis.
