Administrative Coordinator (Hybrid)

UPMC Community Care Behavioral health is hiring a full-time Administrative Coordinator to join the Training team. This is a hybrid role, with three in-office days each week – Monday, Wednesday and Thursday – at UPMC’s headquarters in the U.S. Steel Tower in downtown Pittsburgh. This is a Monday through Friday daylight position.
In this role, you will support Community Care Behavioral Health (CCBH) leaders and team members with a variety of day-to-day administrative responsibilities that help keep the department running smoothly. You'll coordinate calendars and meetings, book travel arrangements, prepare and process expense reports, assist with presentations and communications, and provide administrative support to CCBH executive leadership and management. You'll also help organize projects and training-related activities, interact with internal and external partners, and serve as a reliable resource for a wide range of administrative and operational needs.
Responsibilities
- Under general direction, support the Chief Operation Officer, Chief Government Program Officer, the Chief Clinical Administrative Officer, and provide support to the Training Department
Performs all responsibilities of an Administrative Assistant Sr
- Provides input for presentations and other department/supervisor work.
Reviews administrative procedures and operating practices and makes recommendations to increase efficiency.
- Analyzes complex information requests and determines complex trends
- Responsible for calendar management, requiring interaction with both internal and external executives and assistants to coordinate a variety of complex executive meetings.
- Develops reports for executive or department
- Develops and sends correspondence on behalf of department and department head (i.e., draft and send meeting minutes, draft and send meeting events)
- Arranges travel schedule and reservations for executive management as needed.
- Records and distribute minutes and other relevant information to appropriate participants in a timely manner.
- Assists in the onboarding process and training of new employees.
- Responsible for the Member payments for regional stakeholder and committee meeting participation.
- High school diploma or equivalent.
- 5 years experience in an increasingly responsible administrative support role required.
- Ability to perform advanced functions in word processing, electronic mail/calendar, spreadsheet, presentation and database software.
- Ability to use applicable MS Suite products.
- Advanced knowledge of business processes and procedures.
- Working knowledge of accounting and financial principles and functions.
- Ability to analyze data.
