Role Description

The Operations Assistant is a full-time hybrid role based in Houston, TX, with flexibility for some work from home. This role supports daily operational activities related to background screening and compliance programs, including researching, completing, and preparing accurate background screening reports for quality-assurance (QA) review. Reporting directly to our CEO, you'll own reports from initial research up to the QA stage — researching and verifying court records, calling clerks' offices when needed, processing verifications, and keeping meticulous records. The role also involves using internal systems and tools to analyze data, prepare reports, and support operational efficiency.

This is a true entry-level opportunity. No prior experience is required — we'll train you fully on our systems, workflows, and compliance standards. What You'll Do

  • Complete assigned background check reports from initial research through the QA review stage
  • Research and verify criminal court records across jurisdictions, confirming identifiers and case dispositions
  • Call county and court clerks' offices to obtain, confirm, or clarify records when online sources fall short
  • Cross-check every result against applicant data to achieve the maximum possible accuracy before QA review
  • Process education and employment verifications and enter verified information with high accuracy
  • Assist with scheduling drug screens and physicals, and remind applicants of appointments
  • Coordinate with clients and internal team members and respond to inquiries to maintain high service standards
  • Review assigned orders daily, follow established workflows, flag bottlenecks, and keep organized records
  • Prepare and submit reports for QA review, flagging complex or unclear records for the Compliance Manager
  • Use internal systems to track requests, analyze data, and support operational efficiency

Qualifications

  • Candidates should possess strong Operations skills, including workflow management, process adherence, and attention to detail.
  • Candidates should possess excellent Interpersonal Skills to collaborate with team members and build effective client relationships.
  • Candidates should possess solid Analytical Skills to review data, identify trends, and support decision-making.
  • Candidates should possess effective Communication skills, both written and verbal, to convey information clearly and professionally.
  • Proficiency with office productivity tools and data entry systems
  • Ability to prioritize tasks, manage multiple deadlines, and work independently in a hybrid environment.
  • Discretion and integrity in handling sensitive, confidential information
  • Dependable, coachable, and motivated to meet KPIs in a fast-paced, growing organization
  • Prior experience in operations, compliance, background screening, or a related field is preferred.
  • An associate or bachelor’s degree in business, operations, or a related discipline is a plus.
