Ministry Assistant to the Pastor and Education Ministry

“MINISTRY ASSISTANT FOR PASTORAL AND EDUCATION MINISTRIES”
Principal Function: The Ministry Assistant for Pastoral and Education Ministries is responsible for performing
secretarial duties related to the Pastors and She/He shall be directly responsible to the Associate Pastor.
I. Relationships
She/He is to be a person of unquestioned Christian experience and commitment.
She/He is to be loyal to the activities and ministry of this church. Church membership
and a Personal relationship with the Lord is required and is a guideline to her/his lifestyle.
In the performance of her/his duties herein described and such other duties as may be
assigned to her/him in the future, she/he is responsible to the Church Administrator.
II. Responsibilities
- Type, file and/or prepare all correspondence and related materials for the Pastor and the
Youth Pastor in their areas of work.
- Serve as receptionist for the Pastor, make appointments, receive visitors and phone calls.
- Prepare and record daily on the prayer line the Hospital and Prayer list. Keep the Pastors
informed as to deaths, illnesses and other crises of the membership. Contact members
listed at home on the Hospital & Prayer List and report to Pastors.
- Maintain an up-to-date Personnel file including sick leave, vacation, etc., on each called
staff member, support staff, custodial staff and yourself.
- Schedule Baptismal services with candidates and the Pastor and prepare the area with the
necessary supplies.
- Schedule Weddings, work with families to communicate church policies and fees, prepare
wedding certificates, and mail licenses.
- Serve in special relationship with the Chairman of the Deacons, and officers, Women’s
Enrichment Ministry, Homebound Ministry, and Carpenters for Christ for their secretarial
needs.
- Maintain the Master Church calendar and provide other calendars as needed, which includes
responsibility for assigning rooms, providing custodians with room setup requirements and
seeing that this stays current.
- Serve as secretary to the church staff in their weekly meetings.
- Maintain an accurate chronological file of all church additions.
- Train and/or supervise any volunteer clerical workers needed in the performance of her/his
duties.
- Keep the Sunday School records up to date weekly on computer and prepare reports for
weekly and quarterly reports.
- Maintain our Social Media presence as well as the website.
- Perform other duties as assigned.
III. Remuneration
- Her/His salary and benefits package will be based on the recommendation of the Associate
Pastor and subject to the approval of the personnel committee and the church.
- Sick leave, vacation, and any other compensatory time will be taken on approval by the Administrator.
All time off shall be in accordance with the previously approved policies of Hills Baptist Church. It is expected
that she/he will exercise every care and prudence that any absence not impede or otherwise depreciate the
success or spirit of any phase of the church program.
IV. Remarks
- She/He is required to maintain office hours of 8:30 – 5:00 P.M. Monday –Thursday and 8:30-12:00 on Friday.
Lunch break will be for one hour.
- Lunch break will be taken on a rotating basis between the hours of 11:00 A.M. and 1:00 P.M.
- It is understood that this secretary will willingly care for the duties of others who may be absent
or need to leave their desk or in the event of a staff vacancy. Front desk absences will be handled
on a rotating basis throughout the day.
- Dress and demeanor of this secretary will reflect a Christian Commitment and desire to share the
message of Christ with all who enter the church office.
- It is understood that the loyalty and confidentiality of this secretary is to be unquestioned. Violation
of the integrity of her/his job shall be grounds for dismissal.
