Position Summary

The Human Resources Assistant provides administrative and operational support to the Human Resources Department while delivering exceptional customer service to employees, applicants, and visitors. This position is responsible for supporting recruiting, onboarding, employee records, HRIS administration, attendance administration, employee communications, office operations, and employee engagement initiatives.

The Human Resources Assistant ensures all assigned tasks are completed accurately, timely, and confidentially while maintaining compliance with company policies and applicable employment laws. This position reports directly to the Human Resources Manager.

Essential Duties and Responsibilities

o Recruitment & Onboarding

o Coordinate all new hire onboarding activities.

o Conduct New Hire Orientation.

o Prepare and process all new hire paperwork.

o Complete Compli setup for all new hires.

o Assist employees with registering for the ADP Mobile App.

o Enter new hires into ADP and other company systems.

o Add new employees to TeamSense.

o Create and maintain employee folders on the shared HR drive.

o Prepare new hire training computers and onboarding materials.

o Create mailbox labels using the employee's OP ID after assignment.

o Coordinate pre-employment requirements including background checks, physicals, and drug testing.

o Assist with recruiting activities and employee referral tracking.

Human Resources Information Systems (HRIS)

o Process employee step progressions in ADP.

o Maintain accurate employee records within HRIS systems.

o Process employee status changes including transfers, promotions, and terminations.

o Ensure employee records remain current and accurate.

o Generate HR reports as requested.

Attendance Administration

o Review employee attendance Tuesday through Saturday.

o Monitor attendance exceptions and attendance reports.

o Prepare attendance discipline documentation in accordance with company policy and labor agreements.

o Assist with maintaining attendance tracking spreadsheets.

o Escalate attendance concerns to HR leadership when appropriate.

Personnel Records Administration

o Maintain confidential employee personnel files.

o File all HR documentation accurately and timely.

o Ensure all HR forms are current and updated.

o Maintain electronic and paper personnel records.

o Scan, upload, and organize employee documentation.

o Assist with HR audits and compliance reviews.

Administrative Support

o Schedule appointments and meetings for the Human Resources team.

o Answer HR phones and respond to employee inquiries.

o Welcome employees, applicants, vendors, and visitors.

o Manage visitor check-in and check-out procedures.

o Receive and distribute incoming mail and packages.

o Order office supplies and maintain inventory.

o Monitor and replenish kitchen and lunchroom supplies.

o Maintain HR office organization and cleanliness.

Employee Communications & Engagement

o Coordinate employee appreciation events.

o Organize birthday and work anniversary celebrations.

o Coordinate food orders for employee events.

o Assist with holiday decorations and building events.

o Update HR communication boards and digital display televisions.

o Assist with employee recognition programs.

o Process Discount Card requests.

Recruiting Support

o Maintain employee referral logs.

o Track recruiting referrals submitted by employees and management.

o Assist with recruiting events and hiring initiatives.

o Schedule interviews and candidate appointments.

o Communicate with applicants throughout the hiring process.

Vacation Administration

o Monitor employee vacation accrual milestones.

o Generate and distribute vacation accrual letters and emails.

o Maintain vacation tracking records.

General Human Resources Support

o Maintain strict confidentiality regarding employee information.

o Assist employees with routine HR questions.

o Provide excellent customer service to employees and managers.

o Assist with special HR projects.

o Support payroll and benefits administration as assigned.

o Perform additional duties as assigned.

Work Schedule

o This is a full-time position working Tuesday through Saturday, 9:30 a.m. to 5:30 p.m.

o Saturday attendance is required as part of the regular work schedule.

o Must be available to work additional hours, including occasional overtime, as needed to support onboarding, recruiting events, orientations, employee meetings, or other business needs.

Qualifications

Education

o High School Diploma or GED required.

o Associate's Degree in Human Resources, Business Administration, or related field preferred.

Experience

o One (1) to three (3) years of administrative or Human Resources experience preferred.

o Experience in a warehouse, distribution, manufacturing, or union environment preferred.

o Experience with HRIS systems such as ADP preferred.

Knowledge, Skills & Abilities

o Bilingual in English and Spanish (speaking, reading, and writing) is required.

Physical Requirements

o Ability to sit, stand, and walk throughout the workday.

o Ability to lift and carry up to 25 pounds.

o Frequent use of computers, printers, telephones, and other office equipment.

o Fast-paced office environment within a warehouse/distribution operation.

o Frequent interaction with employees, applicants, managers, vendors, and visitors.

o Occasional overtime may be required to support onboarding, recruiting events, employee meetings, or special projects.

Pay: $25.00 - $27.00 per hour
