Recruiting & Workplace Experience Coordinator
Cooper AI
About Cooper AI
Cooper is an AI coworker for the insurance industry. Getting a business insured involves mountains of paperwork: filling out repetitive forms, re-typing the same information into one insurance company's website after another, and comparing offers by hand. Cooper does that busywork automatically, right inside the tools people already use, so brokers and their teams can focus on advising clients instead of pushing paper. We're a small team with deep insurance roots, teaching AI to do real, trusted work in a massive, overlooked industry.
Backed by Lightspeed, General Catalyst, and Valor, Cooper AI is building from the ground up to modernize a $1T+ global insurance industry.
About the Role
We're looking for a Recruiting & Workplace Experience Coordinator to help us hire great people and make our office a place people genuinely love coming to. You'll sit on the People team, splitting your time between recruiting coordination and workplace experience — scheduling interviews and running a great onsite candidate experience, keeping our office and employee events running smoothly, and supporting new hires as they onboard.
This is a highly in-person role: you'll be in our San Francisco office five days a week, and you'll be the person who makes the day-to-day experience — for candidates, new hires, and the team — feel organized, warm, and well run.
What You'll Do
Recruiting Coordination
Schedule and coordinate interviews across multiple open roles, keeping candidates, interviewers, and hiring managers aligned
Own the onsite candidate experience — greeting candidates, running interview days smoothly, and making sure every visit feels polished
Communicate with candidates throughout the process so they always know what's next
Keep our applicant tracking system accurate and up to date with candidate stages and notes
In-Office Experience & Employee Events
Own the day-to-day office experience — keeping the space stocked, organized, and welcoming
Plan and run in-office events, team lunches, happy hours, and other employee experience moments
Coordinate logistics for visitors, onsite candidates, and company gatherings
Onboarding
Support new hire onboarding so first days are smooth and welcoming
Help prepare onboarding materials, schedules, and workspace setup
Partner with People Ops and hiring managers to close any onboarding gaps
What You Bring
1–2 years of experience in recruiting coordination, office management, or a related operational role
Strong organizational skills — you can juggle multiple schedules and priorities without dropping details
A warm, people-first approach — you make candidates and employees feel welcome
Comfort with ATS and calendar tools, and quick to pick up new systems
Resourcefulness — you figure things out and take initiative
Excitement to be in office five days a week and help build the culture in person
Benefits
Competitive salary & equity
Medical, dental & vision insurance
Monthly wellness stipend
401k with company match
Unlimited PTO
Company sponsored lunch 5x per week
Off sites, happy hours, and team building events
Compensation Range: $75K - $95K
