Responsibilities

GENERAL PURPOSE:

Applies and integrates advanced and predictive analysis, people metrics and reporting to develop strategic and operational insights for workforce decision-making (e.g., staffing, learning and development, talent management, diversity, human resource compliance, DEI, ESG). Uses existing procedures to solve routine or standard problems. Receives instruction, guidance and direction from more senior level roles.

RESPONSIBILITIES:

Clinical Operations

  • Work with faculty practice and clinic representatives to maintain clinic schedules, instructs appointment scheduling staff regarding schedule changes, and pro-actively review future schedules to identify problems.
  • Monitor and maintain time off requests electronic system.
  • Coordination of on call schedules including notification of all necessary parties for call schedules (staff, providers, answering service)
  • Review management reports and actual schedules and report trends affecting schedules and recommend changes to improve patient flow.
  • With general direction, ensure practice operations achieve clinical productivity and business objectives. Monitor clinical productivity, volumes, access and other metrics to ensure practices are meeting business objectives.
  • Responsible for generating room usage reports, patient statistics, and other reports which monitor clinic functions and aid in improving clinic operations. Review reports, identify productivity/room usage issues and make recommendations to increase usage and/or change clinic flow to increase efficiency.
  • Works collaboratively with Administrator to ensure adequate clinical resources for all programs; ensures efficient and cost-effective utilization of space and ambulatory resources.
  • Serves as the lead super-user in all practice initiatives.

Financial Management

  • Research and verify expenses are legitimate and take appropriate steps to correct inaccuracies. Obtain and organize support documentation for expenses. Data enter verified expenses into GEMS for multiple ledger accounts. Assist Administrator and accountants with reconciliation and identifying discrepancies and trends.
  • Complete requisitions and requests for payment and submit to appropriate department for processing.
  • Support the preparation of the operating budgets and capital budgets
  • Support the preparation of data needed for business plans to justify incremental resources, faculty and program expansions.
  • Responsible for tracking clinical expenses in comparison to budget
  • Support the preparation and presentation of quarterly reports to Administrators

Other duties as assigned

QUALIFICATIONS:

  • Bachelor's degree and 2 years of relevant experience required
  • Or equivalent combination of education and experience required
  • Excellent verbal and written communication and interpersonal skills, proficiency with Windows based environments (MS Word, Excel, Outlook, and PowerPoint); ability to handle multiple priorities; strong organizational skills and the ability to meet deadlines in a fast-paced environment essential preferred.

Pay Range

Pay Range: $22.59 - $31.63 Hourly

The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined byconsidering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
